How MAX Verify Reviews a Meld

Coordinators use MAX Verify to catch missing or wrong costs on a Meld before verifying it. This article explains when MAX Verify reviews a Meld, what it looks at, what each MAX status means and how to rate a review, so you know how far to rely on each assessment.

Availability: Available on the Ops plan. Rolling out to AppFolio customers first, with other integrations to follow.

For the steps to verify a Meld, see Verify Completed Melds.

How MAX Verify Fits Into Verifying

MAX Verify does the cross-checking that's hard to do by hand across many Melds, so a missed cost is caught before billing instead of absorbed later. MAX Verify helps TrueCost capture the full cost of every Meld.

MAX Verify follows these rules:

  • MAX Verify assesses and recommends. The Coordinator decides.
  • You can verify any Meld, whatever its MAX status.
  • MAX Verify never verifies a Meld, nudges anyone or adds Costs. The Coordinator takes every action.

When MAX Verify Reviews a Meld

Knowing when MAX Verify reviews a Meld tells you whether its status reflects the Meld's latest information.

  • When the work on a Meld ends and the Meld arrives on Review & Verify, MAX Verify reviews it.
  • If any of these change while the Meld waits on Review & Verify, MAX Verify reviews the Meld again: a Vendor invoice, a work log, Costs, a receipt, the Resident signature, or files such as photos.
  • MAX Verify reviews changed Melds again regularly. Until it does, a changed Meld keeps its previous MAX status.
  • To review changed Melds right away, select Re-run in the MAX summary bar. MAX Verify reviews every Meld with changes to review, and Running… shows in place of Re-run until it finishes.

What MAX Verify Looks At

Knowing what MAX Verify compares helps you judge each flag it raises. MAX Verify reads the Meld's chat, Costs, Vendor invoices, work logs and projected cost from Cost Projection (see TrueCost - Cost Projection). MAX Verify also checks that expected items exist, for example an invoice for each Vendor and a work log for each Technician.

For example, MAX Verify flags:

  • a cost far above the Meld's projected cost
  • a work log that mentions a part with no matching cost
  • a Resident question nobody answered

What Each MAX Status Means

A Meld's MAX status tells you which Melds to verify now and which to check first. On Review & Verify, the MAX Status column shows each Meld's status, and the Verify Work Completed flyout shows MAX's assessment. The table below explains each status.

MAX Status What It Means What to Do
Ready to Verify MAX Verify found nothing that needs attention. Review the evidence and verify.
Needs Attention MAX Verify flagged at least one item. Open the Meld and check each flag. Resolve it, nudge the Vendor or Technician, or verify anyway if the gap is expected.
Pending Review MAX Verify hasn't reviewed the Meld yet. Wait for the review, or verify using the flyout's evidence.
Reviewing… MAX Verify is reviewing the Meld now. Reviewing… shows in the MAX Status column in place of a status. Wait for the result.
Review Failed MAX Verify couldn't finish its review. Verify manually, using the evidence in the flyout.

The quick filters on Review & Verify narrow the list by MAX status. Ready to Verify and Needs Attention show only Melds with that status. All shows every Meld, including those showing Pending Review or Reviewing…. The quick filter returns to All each time you open the page.

Use the MAX Summary Bar

The MAX summary bar on Review & Verify shows where to start without scanning the whole list. The MAX summary bar shows:

  • how many Melds are ready to verify
  • the Meld that has needed attention longest, with its first flag. Select the Meld's ID to open it.
  • when MAX Verify last ran

Re-run in the MAX summary bar reviews every Meld with changes to review.

Rate a MAX Verify Review

Rating a MAX Verify review shows Property Meld where MAX Verify is right or wrong, so Property Meld can tune it. A rating doesn't change MAX Verify's assessment of that Meld or of future Melds.

To rate a review, in the Verify Work Completed flyout, select thumbs up or thumbs down on MAX's assessment. You can rate a Meld more than once, and each Coordinator's rating is recorded separately.

Edge Cases

These situations change what MAX Verify can tell you.

  • If Vendor invoices don't go through Property Meld: MAX Verify has less to compare, so it catches fewer gaps. Add Vendor invoices to the Meld to get the full review. See Managing Vendor Invoices.
  • If a MAX status doesn't reflect a change you just made: MAX Verify hasn't reviewed the Meld again yet. Select Re-run in the MAX summary bar.
  • If MAX Verify isn't available: Review & Verify has no MAX Status column, quick filters or MAX summary bar. The Verify Work Completed flyout still shows a warning when an item is missing.
