How to Use TrueCost in Meld
TrueCost supports two ways to capture costs. The key is choosing the method that matches the type of expense.
Important (avoid double counting): If the expense is represented by a receipt, capture it using Upload Receipt / Scan receipt and do not add the same charge again using Add Cost. Use Add Cost for costs that do not have a receipt.
Add Cost (Manual Entry, Non-Receipt Costs)
Use Add Cost for costs that are not tied to a receipt, such as items pulled from truck inventory or internal charges.
Go to the Costs tab in the Meld
Select Add Cost
Enter the item description, quantity, and cost
Select Save all changes
Upload Receipt (Receipt + Auto-Fill)
Use Upload Receipt (or Scan receipt on mobile) when you have a receipt and want documentation stored with the cost.
Select Upload Receipt and choose your file (or scan on mobile)
Review the auto-filled cost lines pulled from the receipt
Adjust line items as needed
Select Save Costs
Review Cost Breakdown
Expand the Total Meld Cost panel
See the breakdown by raw costs, labor, and invoices
Create a Bill
Click Create Bill
Meld will pre-fill the bill with costs and markups
Approve and Finalize
Once reviewed, click Approve Bill and then click Save
How TrueCost Keeps You in Control
Billing remains flexible: You can adjust markups, apply GL codes, or review exceptions.
Costs stay accurate: All data remains anchored to the original fulfillment event.
Exceptions are flagged: If a bill exceeds past job ranges or estimate limits, TrueCost lets you know.
